An MSP owner asked me recently, “How do I actually rank on ChatGPT?”
That question is really about AI search optimization for MSPs, just phrased around one specific platform.
My answer was short: it comes down to authority and presence.
Let me walk through what that actually means, and how to build both.
Why ChatGPT “Ranks” Anyone in the First Place
ChatGPT and other LLMs don’t have some secret internal database of the best MSPs in your city.
They rely on the internet to make inferences about your question, the same way a search engine does, just with an extra step.
Ask ChatGPT something like “what’s the best managed IT provider in Denver,” and it goes and scours the internet for content relevant to that exact question.
Then it compiles what it finds, weighs it, and spits out its best judgment on which providers deserve a mention.
That’s really the whole mechanism. If there’s nothing out there connecting your MSP to that question, in a way ChatGPT can actually find and trust, you don’t exist in its answer.
It’s not personal, and it’s not random either. It’s a direct reflection of your presence and authority on the web.
Here’s the five-step process I’d actually run for this.
1Prompt Research
Before you touch your website, figure out what your ideal buyer is actually typing into ChatGPT.
Start by brainstorming the questions your ICP would realistically ask. Something like “best cybersecurity company for a law firm in Phoenix” or “managed IT provider that handles HIPAA compliance.”
Then ask ChatGPT itself to generate similar prompts you might not have thought of. It’s genuinely good at expanding a seed list like this.
Once you’ve got a solid list, search each one and look closely at what comes back. Who’s getting mentioned. What kind of content is being pulled from.
Whether it’s directories, blog posts, review sites, or actual competitor service pages showing up in the answer.
The payoff: This step alone tells you more about your real competitive landscape than most paid tools will.
2Results Analysis
Now go deeper into what you found.
Analyze the answers themselves and note exactly who’s being mentioned, and just as importantly, what content ChatGPT seems to be pulling that mention from.
Is it a “best MSPs in [city]” roundup? A directory listing? A competitor’s own site?
Search those same queries on Google too, and see what’s actually ranking there.
There’s usually heavy overlap between what ranks well organically and what ChatGPT ends up citing, since both are ultimately reading the same web.
While you’re in there, keep a running list of content ideas and “best of” lists you come across. These are worth targeting directly, and we’ll get into exactly how in a minute.
3Create Content
This is where most MSPs either do too little or completely overthink it.
Start by building out the service pages and blog content that actually answer the prompts you researched in step one.
If your ICP is asking “how do I know if my MSP is HIPAA compliant,” you need a page that answers that directly, not a vague “our services” page that dances around it.
Look at whoever’s ranking at the top of ChatGPT and Google for your target prompts, and don’t be shy about learning from their structure.
I don’t mean copy their content outright, that’s a fast way to get yourself into trouble and it doesn’t actually build any real authority anyway.
I mean study what they’re covering, what questions they’re answering, and the structure they’re using, then build something in that same shape but genuinely better and more specific to your own clients and your own proof.
Once it’s published, don’t let it just sit there. Share it on social media and tag your own brand consistently.
Part of what builds “presence” here is simply having your name attached to content across more than one platform, not buried on page four of your blog where nothing links to it.
This is exactly the kind of work that feeds a broader lead generation for MSPs strategy, since the content doing the ranking is the same content doing the converting.

Content alone isn’t enough. ChatGPT (and Google, for that matter) is trying to judge how credible a source actually is, not just whether it technically answers the question.
Find the “best MSP” or “best IT provider in [city]” lists that already exist and reach out directly to get your business included.
A lot of these lists are more open to pitches than people assume, especially if you come with a specific, relevant reason you belong on it.
Go a step further and write your own “best of” list. A “Best Cybersecurity Providers for Law Firms in Phoenix” post, for example, positions you as enough of an authority to be making that call in the first place.
And if it ranks on Google, it becomes one more surface where your brand shows up next to (or above) your competitors.
And build real backlinks from high-authority sites. This is the slower, less exciting part of the process, but it’s what actually signals to both Google and these AI models that other credible sources vouch for you.
Without it: everything else in this list is working with one hand tied behind its back.
5Track Results
None of this works if you do it once and check back in six months.
Every two to four weeks, go back and search the exact prompts you started with in step one.
Take note of anything that’s changed: new competitors showing up, content sources shifting, and most importantly, whether your own brand has started appearing anywhere in the answer.
months of consistent effort is a realistic window before you start seeing your name show up reliably, not three to six days. Treat it the same way you’d treat SEO, because that’s exactly what it is.

- Create content that answers those prompts directly, then distribute it
- Build authority through “best of” lists, backlinks, and real proof
- Track your prompts every 2–4 weeks and give it 3–6 months to show up
